How do I manage scheduling Conference Rooms and/or Resources (i.e. Projectors) |

To set up Conference Room Scheduling or Resource Management such as Projectors or other equipment:
1. In the XCN Admin Page set up, as a 'user', each of the conference rooms or resources - for example: CRoom1@x.com, Proj2@x.com.... We recommend fairly simple passwords to facilitate repeated access by the person managing the conference rooms and/or resources.
2. Logout of the XCN Admin Page.
3. One at a time, log back in to the XCN Admin Page as each 'conference room' or 'resource'.
4. In the 'Personal Preferences and Permissions' section, select 'Personal Calendar' and select "Modify Permissions".
5. From the "No Access" user list on the right hand side, select the user who will be the Administrator read/write/delete access) of the Calendar. If you want to add other users as Member (read/write) or Guests (read-only) this is the place to do that (doing so will cause the Conference Room or Resource Calendar to appear in those user's Outlook folder list.
When done, select "Update Personal Calendar Permissions" and then "Main Menu" when done.
6. logout of the XCN Admin Page
7. repeat steps 3 through 6 for all conference rooms or resources.
8. In Outlook, on the next sync, the Conference Rooms will show up in the Outlook Folder List of the selected user(s) defined in Step 5.
Conference Room or Resource scheduling may be entered as a normal event in the respective Calendars. It is important that the period be designated as "Busy" - otherwise Free/Busy will not pick it up.
9. To view the Conference Room or Resource availability (Free/Busy), right-click on the blue XCN icon in the system tray and select "User Availability" - select the conference room or resource's that you wish to confirm availability and then select "Update".
